11-Donations via Check, Zelle, Bank Transfer or Bank Deposit

  1. Open Donorview.
  2. In Fundraising >Gifts >New >Gift, indicating (capitalize first letters only):
    • Constituent: Select Contact to find an existing Constituent; if none, then click on the image of a person with the plus sign to create a new Constituent.
    • Gift Type: General
    • Date: leave current date
    • Amount: the amount donated
    • Tax Deductible Amount: same as the amount donated (unless there are banking fees, which is usually not the case for check, Zelle, bank transfer or bank deposit)
    • Receipt Number: leave blank
    • Payment Type: press “C” for check, or select Zelle, Bank Transfer or Bank Deposit in most other cases
    • Check #: put bank and check number, or transaction number (for Zelle, Bank Transfer or Bank Deposit)
    • Check Date: date of check, bank deposits or Zelle
    • Deposit Date: date the check, bank deposits or Zelle was deposited
    • Deposit Batch ID: leave blank
    • Acknowledged: leave blank (this will be filled up automatically after acknowledging)
    • Acknowledged How: leave blank (this will be filled up automatically after acknowledging)
    • Acknowledged Date: leave blank (this will be filled up automatically after acknowledging)
  3. ONLY IF the donation is for a specific diocese (rather than in general, for operations, renovations, programs or unspecified), put:
    • For: “Scholarships”
    • Fund: the corresponding diocese
    • (leave blank the other boxes in between)
    • Peer to Peer Gift: Yes
    • Campaign: Diocesan Support
  4. ONLY IF you wish to see how the receipts looks like:
    • Click Save And Acknowledge. A new box pops out
    • Mail Merge Template: Donation Receipt (or click D)
    • Delivery Option: Print to PDF
    • Click OK
    • You may also save and email this PDF; otherwise close this PDF and proceed to the next step.
  5. Click Save And Acknowledge. A new box pops out:
    • Mail Merge Template: Donation Receipt (or click D)
    • Set Acknowledged: Yes
    • Select How Acknowledged: Email with link to receipt
    • Acknowledge date: current date
    • Tribute Acknowledged: No
    • Attach the following data to the end of the letter: None
    • Delivery Option: email link to PDF file
    • Save to Documents: Yes
    • Post to Portal: No
    • Document Name: blank
    • Document Category: none
    • Click OK and send.
  6. Repeat the above for the next donation(s).
